Miro cost vs self-hosted Nextcloud Whiteboard and Excalidraw

Miro is priced per member and gates SSO, SCIM and data residency by plan. Self-hosting Nextcloud Whiteboard or Excalidraw removes license fees but moves servers, collaboration, upgrades and support onto your budget.

Does Miro cost less than self-hosting a whiteboard?

Miro costs less than self-hosting only when your headcount is small and the controls you need sit on a lower plan. Miro bills per member, so the total grows with every person who joins a board. The controls regulated teams often require push you up the plan ladder: SSO starts on Business, SCIM and audit logs are on Enterprise, and data residency beyond EU hosting is Enterprise-only. Before your renewal, list which of these you use today, then count the editors and viewers who would need paid seats. Ask Miro for the per-member price for your region and term in writing, because this page does not quote one.

Self-hosting removes the per-member license fee but adds recurring costs that scale differently. You pay for servers or a cloud account, a database, backups, TLS certificates, monitoring and the staff hours to upgrade. Nextcloud Whiteboard is built on Excalidraw and needs a separate websocket server for live collaboration, so plan it as a second service with its own hardening and updates. Excalidraw is MIT licensed and its collaboration server, excalidraw-room, is also MIT licensed, so software fees are zero. The balance depends on user count and internal skills: infrastructure costs are largely fixed, so they spread across more users, while a small team without Linux or container experience may spend more on hours than it saves on seats. If you want Nextcloud Enterprise support, its pricing page lists per-user annual rates from a 100-user minimum. Request a fixed-scope quote that names installation, upgrades, backups and support separately.

Self-hosting also changes where the enterprise controls come from. Data stays on the servers you choose, so the residency limit that applies to Miro outside Enterprise does not apply to your own deployment. But you must build the controls yourself: Nextcloud documents LDAP, OpenID Connect and SAML for sign-in, and you need to confirm how board access, offboarding and audit records are handled in your setup. If you only need a hosted option, Excalidraw+ lists a Plus plan at $6 per user per month with a 14-day trial and states SOC 2 Type 2 compliance, which you should verify in its documentation before relying on it. Write down the controls you must keep, price each route against them, and run a pilot with one workshop team before you decide.

Which cost components change when you self-host

This table sets each cost component of a Miro subscription against the same component when Nextcloud Whiteboard or Excalidraw runs on your own servers. Read the last column first to separate one-time work from recurring spend. The main takeaway is that the open-source licenses carry no fee, so recurring cost moves into hosting, upkeep and staff time, while paid add-ons are separate decisions.

What moves the comparison up or down

The cost gap between Miro and a self-hosted whiteboard depends on a few factors that change with the organization: how many people need edit access, which Miro edition controls are required, where data must reside, and how much internal skill is available to run the service. Each card below shows which way a factor pushes the total.

User count and seat growth

Miro is licensed per member, so every added editor adds a recurring seat cost. A self-hosted Nextcloud Whiteboard or Excalidraw setup does not charge per user, but its server load, storage and support scope still grow with active users and boards. Ask Miro for the per-member price at your expected headcount for the next two renewal cycles, and model how many people only view boards versus those who edit them.

Required Miro edition controls

Single sign-on starts on the Business plan, and SCIM provisioning and audit logs sit on Enterprise. If your security policy requires directory-driven provisioning or audit trails, the Miro quote moves up to the Enterprise tier. On the self-hosted side, Nextcloud's LDAP app and its OpenID Connect and SAML backends cover login, but you must confirm which provisioning and logging features your chosen setup needs.

Data residency requirements

Miro offers EU data residency on all plans, while US, Australian and Japanese residency require Enterprise. Lucid and Figma also gate regional hosting behind their top tiers. If your regulator or internal policy requires a specific country or a closed network, a self-hosted deployment in your own data center removes the tier decision, but it adds hosting and backup work that you must staff.

Availability and support hours

Vendor SaaS includes uptime operations that you would otherwise build yourself. Nextcloud Enterprise tiers differ in maintenance length and support coverage, with the top tier offering support up to 24/7, so a self-hosted Nextcloud Whiteboard deployment with a paid support contract carries a recurring cost that scales with the hours you need. Confirm the response times and hours you require before comparing totals.

Internal platform skills

A self-hosted whiteboard needs people who can run Nextcloud, the database, PHP and the Excalidraw collaboration server, apply monthly maintenance, and upgrade one major version at a time with backups before each step. If that skill already exists on the platform team, the labor cost is mostly time already budgeted. If it does not, the cost is either hiring or an external support retainer. Estimate the hours per month your team can spare before choosing.

Upgrade and lifecycle effort

Nextcloud publishes a new major version every four months and supports each for one year, so the upgrade cadence is a recurring task. Upgrades cannot skip major releases, and third-party apps must be checked before each step. Factor the staff time for this cycle into the total cost, and ask any implementation partner to include upgrade and testing work in a fixed-scope quote.

What Nextcloud Enterprise support adds to the bill

Nextcloud Server carries no license fee under AGPL-3.0, but Nextcloud GmbH sells Nextcloud Enterprise as a paid offering alongside the community version. The decision here is whether your organization needs vendor-backed maintenance and support, and if so, which tier. Enterprise is sold in Standard, Premium and Ultimate tiers with a 100-user minimum. According to Nextcloud's pricing page, list prices start at 71.29 euros, 104.99 euros and 204.75 euros per user per year respectively for 100 or more users, and lower rates apply from 200 users. Those are list prices, so confirm the figure that applies to your user count and contract term in a written quote before you compare it with your Miro line items.

The tiers differ mainly in how long the product is maintained and how much support you can call on. Standard includes one year of maintenance. Premium adds a maintenance lifecycle of five years or more, extended support hours and clustered instance support, which matters if you run Nextcloud across several nodes. Ultimate adds support up to 24/7 with response times down to one hour. Ask the vendor to name the support hours, severity definitions and response targets in the contract, because the pricing page summarizes them and the binding terms sit in the order form. Also ask how the maintenance lifecycle is counted against the major release calendar in the Nextcloud maintenance and release schedule.

The community version has no license fee, but it has no vendor-backed support service level agreement. Security fixes still arrive through the monthly maintenance releases, so the real cost question is who performs upgrades, patch testing and incident response when your team cannot. Those tasks are paid for either through Enterprise, through your own staff, or through a support partner such as DeployOpen under a written, fixed-scope engagement or retainer. Whichever route you choose, the Whiteboard and Excalidraw components should be included in the scope, since they sit inside the same Nextcloud deployment and upgrade path.

How to build the cost comparison with your own numbers

This sequence turns a Miro renewal into a like-for-like comparison of licensing, hosting, collaboration server, support and staff time over a fixed period. Each step ends with a figure you can check against a written quote.

  1. Count active members and guests

Ask the Miro account owner or admin to export the member list from the admin console and split it into full members, guests and inactive accounts. Miro bills by member, so the count you use should match what your contract charges for, not the total headcount in your directory. Record the number of boards with active collaboration each month, because heavy use of a few boards is a common driver of support load. You are done when you have one number for paid seats and one for guests, each with the date it was taken.

  2. List the Miro plan and add-ons

Take the plan name, seat price, billing term and every add-on from the current order form, not from the public pricing page, because enterprise terms are negotiated. Note which controls depend on the plan, such as SSO, SCIM, audit logs and data residency options, since these determine whether a self-hosted option must cover them too. Mark which line items are one-time (setup or professional services) and which recur each year. You are done when the annual recurring total and the renewal date are written down with the contract reference.

  3. Price the Nextcloud or Excalidraw servers

Estimate the virtual machines or containers, storage, backup target and database needed for either option. For Nextcloud Whiteboard, the boards live in Nextcloud, so include the Nextcloud server, a supported database (the Nextcloud 35 requirements list MariaDB 11.8 or PostgreSQL 18) and a PHP stack. For a static Excalidraw deployment, the hosting need is much smaller, but you still need TLS, a reverse proxy and backups of any stored scenes. Ask your cloud provider or data center team for written monthly rates. You are done when each server line has a named resource size, a monthly rate and a source quote.

  4. Add the websocket collaboration server

Live multi-user editing needs a collaboration server in addition to the app. The excalidraw-room project is the MIT-licensed collaboration server for Excalidraw, and Nextcloud Whiteboard requires a separate websocket server for live collaboration, so confirm the current setup in its documentation before pricing. Add a virtual machine or container for it, its load balancer or proxy entry and its monitoring. You are done when the collaboration server has its own line in the estimate, with the same tier of hosting and backup as the rest of the stack.

  5. Estimate migration and internal hours

Count the hours for the people who will do the work: platform engineers for installation, identity integration, backup configuration and testing, plus a content owner who decides which boards to keep, rebuild or archive. Miro exports images, PDFs and CSV tables, but not an editable board format for other tools, so budget time for rebuilding the boards that still matter. Ask any implementation partner for a fixed-scope written quote covering these tasks. You are done when hours are listed per role, each with an assumed hourly cost from your finance team, and the migration cost is separated from recurring costs.

  6. Add support tier and upgrade cadence

Nextcloud publishes a new major version every four months and supports each for one year through monthly maintenance releases, and it does not allow skipping major releases. Plan for at least one upgrade cycle per year, including backups before each upgrade and a check that third-party apps are compatible. Decide whether you need community support or a paid subscription; Nextcloud Enterprise is priced per user per year with a 100-user minimum, and the pricing page lists the Standard, Premium and Ultimate tiers. Excalidraw+ is a separate hosted product, so price it only if you consider it as a managed option. You are done when support tier, upgrade hours and the paid subscription, if any, each have a line with its source.

  7. Compare totals over a fixed period

Choose one comparison period, such as three years, and use the same period for both options. Place one-time costs in year one and recurring costs in each year, then add a contingency line you can explain to finance. Include the Miro renewal increase you expect, based on the written renewal quote, not on an assumption. Ask Miro and every vendor you consider for written quotes, and keep the quote references next to each number. You are done when you have a single table with Miro and the self-hosted option side by side, a stated period and a list of assumptions that a second reviewer can challenge.

Costs teams forget on each side

Subscription lines are easy to compare, but the costs that surprise teams sit on both sides of the move. On the Miro side, export limits and rebuild effort shape what leaves the platform. On the self-hosted side, upgrades, staff time and monitoring carry the recurring work that a per-member fee used to cover.

Export limits and board rebuilds

Miro's board backups (.rtb files) only restore into Miro, so leaving the platform usually means exporting images, PDFs or CSV tables and rebuilding the boards that matter. Rebuild effort grows with the number of active boards, sticky-note density and embedded content. Ask Miro which export paths your plan and board owner settings allow, and sample a few representative boards before estimating the move.

Backups before every upgrade

Nextcloud expects administrators to take a backup before each upgrade, and Nextcloud Whiteboard boards live in the Nextcloud data store. A backup covers the database, the data directory and the configuration, so the restore time is part of the upgrade plan. Budget staff time for taking, storing and test-restoring these backups, not only for the upgrade itself.

One major version at a time

Nextcloud does not allow skipping major releases, so an installation several versions behind needs a sequence of upgrades, each with its own testing window. Major releases arrive every four months, so the sequence can become a standing task. Ask whether your team will run this cadence itself or buy a maintenance tier that covers it.

Third-party apps disabled during upgrades

Administrators must disable third-party apps until each one is confirmed compatible with the new version. If your rollout depends on apps for SSO, storage or whiteboards, each upgrade can pause those features. Keep an inventory of installed apps and the owner who tests each one before every upgrade window.

Monitoring and on-call staff time

A self-hosted collaboration server needs uptime checks, certificate renewal, disk and database alerts, and a named on-call rota for outages during workshops. For Excalidraw, the separate collaboration server (excalidraw-room) is a service you run and watch, so live sessions depend on it. Ask who answers out-of-hours calls and what the response expectation is before you commit to self-hosting.

Support tier and security updates

Community releases get monthly maintenance for one year, while Nextcloud Enterprise tiers add longer maintenance lifecycles and support hours. Choosing between community operations and a paid tier changes who handles patches and incident response. Ask for the lifecycle and response times in writing for whichever option you pick, and compare them with your Miro support terms.

Questions buyers ask before comparing Miro and self-hosting

How much effort does self-hosting a whiteboard take compared with Miro?

Self-hosting replaces a subscription with work you own: installing, securing, backing up and upgrading the platform. Nextcloud Server requires a database, a web server and PHP, and Nextcloud publishes a new major version every four months, each supported for one year. Upgrades cannot skip major releases, so you must move one version at a time, back up before each upgrade and disable third-party apps until they are confirmed compatible. Excalidraw adds a separate collaboration server, excalidraw-room, for live sessions. Effort is mostly recurring, and it scales with how many boards, users and integrations you run. Ask any implementation partner to list these tasks in their written scope before you compare totals.

Can an internal platform team run Nextcloud Whiteboard or Excalidraw without outside help?

Often yes, if the team already runs web services, databases and identity integration and can keep up with release cycles. The skills needed are Linux administration, database maintenance, reverse proxy and TLS configuration, backup restore testing and change control for upgrades. Nextcloud All-in-One packages many of these components, including caching, PostgreSQL and backups, which lowers the starting bar but does not remove upgrade work. Be honest about on-call coverage and who owns the platform after the first build. A partner can take over parts of this as a retainer, which covers ongoing support, upgrades and testing.

How long does a migration from Miro take?

The duration depends on the drivers, not on a fixed number. The main ones are how many boards must move and how many are archive-only, whether you need board history or comments, how many users need single sign-on through LDAP, Active Directory, OpenID Connect or SAML, and how many templates and integrations must be rebuilt. Miro exports images, PDFs and CSV tables but no editable board format outside Miro, so most boards are rebuilt rather than transferred. Pilot groups usually reveal the real scope early. Ask for a timeline in the written scope that lists each phase and the decisions owned by your team.

Is Excalidraw alone cheaper than Nextcloud Whiteboard?

Excalidraw is MIT licensed and Nextcloud Whiteboard is AGPL-3.0 licensed, so neither carries a license fee for the software itself. The cost difference comes from the platform around each one. Nextcloud Whiteboard stores boards in Nextcloud, so you run and maintain Nextcloud Server, its database and its file storage, which is a larger service that also covers files and calendars. Standalone Excalidraw needs a collaboration server and storage for scenes. If you only need whiteboards and already run Nextcloud, the marginal cost is lower. If you run nothing else, compare the full stack for each option in the quote.

Does EU data residency on Miro change the cost comparison?

It can change the compliance and risk side more than the license side. Miro offers EU data residency on all plans, with Ireland as the primary data center and Germany as the backup, while US, Australian and Japanese residency require the Enterprise plan. If EU hosting already meets your requirement, Miro's cost is not automatically higher for that reason. Self-hosting moves control to your own data centers or cloud accounts, which may matter for other requirements such as audit access, exit terms or air-gapped operation. Confirm with your legal and compliance teams which requirement drives the decision, and ask Miro to confirm current plan terms in writing.

What does a fixed-scope quote for self-hosting actually cover?

A fixed-scope quote lists the scope, deliverables and timelines agreed in writing before work starts. For a whiteboard project, expect items such as the target architecture, installation in your own cloud account or data center, identity integration, hardening, backup and restore testing, documentation, user onboarding, and a migration plan for boards you choose to keep. Items that are usually excluded are rebuilding every template, custom integrations and ongoing operations, which can be quoted separately as a retainer. Ask the provider to state what is out of scope and what you must supply, such as hosting, certificates and identity provider access.

Which Miro features will a self-hosted setup not match?

Miro's templates, large integration catalog and admin controls such as SCIM and audit logs on Enterprise are areas where a self-hosted setup may differ. Nextcloud Whiteboard and Excalidraw cover freehand drawing, shapes, shape libraries and export to PNG, SVG and the open .excalidraw JSON format. Confirm each feature you depend on, such as audit logging, provisioning, comment history or specific templates, against the current release of the platform you choose. Write these gaps into the scope so that nobody discovers them after cutover.

What a migration adds to year-one cost

The largest one-time cost in moving off Miro is usually not the server or the software. It is getting boards out of Miro in a form the new platform can use. Miro's exports produce images, PDFs and CSV tables for tabular content, but there is no editable board format that opens outside Miro. A board exported as an image can be archived or embedded for reference, but it cannot be edited in Nextcloud Whiteboard or Excalidraw. Sticky notes, connectors, frames and comments have to be recreated by hand, or the board is kept as a read-only archive. Miro's .rtb board backups are a second trap. They preserve the full board, but they only restore into Miro, so they protect you against loss inside Miro without giving you a route out of it. Teams should not count them as a migration path. The Enterprise Board Export API is the other route to a full archive with comments, and it is available only to organizations on that plan, so confirm your plan and export rights with Miro before you plan around it. The cost is one-time, and it scales with two things: how many boards are active and how many boards you keep. A short inventory in a spreadsheet, with an owner, a last-edited date and a decision of rebuild, archive or delete for each board, sets the effort before anyone starts drawing. The migration guidance in the sibling page on moving from Miro to Nextcloud Whiteboard covers which boards to rebuild and how to roll out whiteboards inside Nextcloud.

How DeployOpen scopes a fixed-price self-hosted whiteboard

DeployOpen plans, implements, hardens, backs up and documents self-hosted whiteboards inside your own infrastructure, so the cost of a Miro replacement is set by a written scope rather than a per-member subscription. Engagements are fixed-scope, with scope, deliverables and timelines agreed in writing before work starts.

How we scope

  • We confirm how many teams, boards and users need Nextcloud Whiteboard or Excalidraw, and which Miro boards must move.
  • We record whether you need Nextcloud hosting, a separate collaboration server, SSO through LDAP, OpenID Connect or SAML, and backups.
  • We agree deliverables and timelines in writing, and quote from that written scope, not from a list price.

How we build

  • We install and configure the whiteboard stack in your cloud account, data center or closed network, with the database and PHP versions you approve.
  • We connect the identity source you choose and test that users sign in with their existing directory credentials.
  • We test board creation, live collaboration, exports and restores before any team is asked to move work across.

How we hand over

  • We document the installed components, configuration, access roles, backup schedule and the steps to restore a board.
  • We provide a runbook for upgrades that moves one Nextcloud major version at a time and covers pre-upgrade backups.
  • We walk your administrators through daily tasks so your team can run the whiteboards after handover.

How we support

  • Ongoing support, upgrades and continuous testing are available as a retainer, scoped separately from the build.
  • We can keep the stack current with each Nextcloud release cycle and review third-party apps before they are enabled.
  • Ask us to confirm which support tasks are included in a retainer and which are billed as additional work.
