Self-hosted Trello alternative for EU data residency: the short answer
If your compliance or procurement team needs Trello boards, comments and attachments held in the EU under your own control, know this first: Trello is not listed among the Atlassian cloud products that offer data residency. Atlassian's data residency page names Jira, Confluence, Jira Service Management and Jira Product Discovery, so Trello data cannot be pinned to an EU region through that program. The self-hosted options are WeKan or Nextcloud Deck, hosted in an EU data center or in your own cloud account in the EU, so that the application, database and file store all sit where your policy requires.
The core concern is GDPR Chapter V. Under Article 44, every transfer of personal data to a third country, including onward transfers, must meet the transfer conditions, and EDPB Guidelines 05/2021 treat storage in a cloud outside the EEA and remote access from a third country as transfers. Board content often holds personal data such as names, assignees and attached contracts, so a US-hosted SaaS tool raises a question your data protection officer must answer. Self-hosting in an EU facility removes the transfer path for the data you control, although you still need to assess any support access and the sub-processors your hosting provider uses. This page explains how WeKan and Nextcloud Deck compare for this requirement, what data residency actually depends on in a self-hosted setup, and what a migration involves. Before you decide, confirm with Atlassian and your own counsel whether any Trello data path leaves the EU today, and ask your hosting provider where backups, logs and support sessions are stored.
What EU data residency requires of a kanban tool
Data residency for board data is less about where a server sits and more about who can reach the data and where it travels. The cards below cover the transfer rules, the legal exposure of US-linked providers and the checks an organization should make before it moves boards into any hosted tool.
Transfers need a lawful basis
GDPR Article 44 requires every transfer of personal data to a third country, including onward transfers, to meet the Chapter V conditions. Card titles, comments and attachments often name people, so they count. Infringements of Articles 44 to 49 can draw fines of up to EUR 20 million or 4% of worldwide annual turnover, whichever is higher. Ask your vendor where every copy, including backups and support access, is held.
Remote access counts as transfer
EDPB Guidelines 05/2021 treat remote access from a third country as a transfer, even when a support engineer only views data on a screen. Cloud storage outside the EEA is also a transfer. For a board tool, a vendor's support staff in another country opening a board is therefore part of the residency question, not a separate operational detail. Ask for a list of support access locations and how that access is logged.
Privacy Shield invalidated, DPF pending
In Case C-311/18 (Schrems II), the Court of Justice invalidated the EU-US Privacy Shield while upholding standard contractual clauses. The current Data Privacy Framework adequacy decision covers only US organizations on the DPF List, and an appeal against the General Court's September 2025 judgment is pending as Case C-703/25 P. Check whether a vendor is on that list, which transfer tool it relies on, and what it does if the adequacy finding changes.
US legal reach over stored data
The US CLOUD Act provision at 18 U.S.C. 2713 requires US providers of communication and remote computing services to preserve or disclose data in their possession, custody or control, wherever it is stored. Article 48 of the GDPR only recognizes a third-country court order if it rests on an international agreement such as a mutual legal assistance treaty. Ask a US-parented vendor how it responds to such demands and whether it notifies customers.
Self-hosting moves the exposure
When WeKan or Nextcloud Deck runs in an EU data center under your own accounts, the vendor's support path and the cloud provider's legal exposure become the main variables to assess, rather than the application's own hosting terms. The data stays where you place it, but your hosting provider and any managed service still need the same review. Document the hosting location, the administrators with access and the backup location in your records of processing.
How WeKan and Nextcloud Deck meet the constraint
WeKan is a standalone, MIT-licensed kanban application that closely follows the Trello board model, with cards, lists, swimlanes and drag-and-drop reordering. Because it is a separate application, you decide where it runs, which database sits behind it and how users sign in, which makes it a direct fit for an EU data residency requirement. Its README describes several deployment routes: Windows, Mac and Linux bundles, a Linux Snap with automatic updates, a Linux AppImage, and Docker and Kubernetes images published on GitHub, Docker Hub and Quay.io.
- Database choice: WeKan supports MongoDB 6 to 9. Its default is FerretDB v1 with SQLite, which needs no separate database server and suits small pilots. FerretDB with PostgreSQL also works for teams that already operate PostgreSQL. MySQL, MariaDB and SAP HANA are listed as experimental, so treat them as non-production options.
- Sign-in options: The README lists SAML, LDAP, OAuth2 login providers and passwordless login. Confirm which combination your identity provider supports before you commit to a design.
- Board features: Swimlane and list views, Scrum settings, WIP limit groups and a real-time interface are included. Check these against the Trello Power-Ups your team uses today, since some integrations will not carry over.
- Import and export: WeKan imports Trello, Jira, Asana, Zenkit, Focalboard, Todoist and Microsoft Planner, plus its own JSON or zip, CSV/TSV and Excel. Exports include PDF, Excel, HTML, an iCal feed and CSV.
- Release cadence: Releases are frequent. Version v12.52 was published on October 17, 2026, so plan a patch process rather than a one-time install.
The trade-off is that WeKan is the whole stack. You patch it, back up its database and own its uptime. Ask your vendor or your partner to confirm which database and login combination you will run in production and how security fixes will be applied.
Deck is the kanban app inside Nextcloud, so boards sit next to the files, calendars and chat that your organization may already run. Nextcloud Server is written mainly in PHP and JavaScript/TypeScript and is licensed under AGPL-3.0, with contributions from 16 June 2016 onward available under AGPLv3 or any later version. Nextcloud GmbH also sells Nextcloud Enterprise for enterprise, public sector and education users, alongside the community version.
- Identity integration: The LDAP app lets LDAP and Active Directory users appear in Nextcloud and sign in with directory credentials. Nextcloud also documents OpenID Connect and SAML user authentication backends, so you can choose the model your identity team already operates.
- Stack under Deck: Nextcloud 35 recommends MariaDB 11.8 or PostgreSQL 18, PHP 8.5 with 8.3 and 8.4 supported, and Apache 2.4 or nginx with php-fpm. Oracle Database is only available with an enterprise subscription.
- Release cadence: Nextcloud publishes a new major version every four months and supports each for one year through monthly maintenance releases. Nextcloud 35 was released on 16 September 2026 with end of life in September 2027, and Nextcloud 36 is scheduled for 17 February 2027.
- Upgrade rule: Nextcloud does not allow skipping major releases. Upgrade one major version at a time, back up before every upgrade and disable third-party apps, including Deck-related integrations, until they are confirmed compatible.
- Deployment helper: Nextcloud All-in-One is the official installation method and bundles Redis, APCu, PostgreSQL, BorgBackup-based backups, ClamAV and full-text search, with a Helm chart for Kubernetes.
The trade-off is that Deck is only as good as the Nextcloud deployment underneath it. Its file storage, sharing rules, backups and upgrade cycle all become part of the board's risk profile. Ask who will own the four-month upgrade cycle before you choose Deck.
Where Trello stands against the Atlassian data residency list
Atlassian's data residency page lists Jira, Confluence, Jira Service Management and Jira Product Discovery as the cloud products on which data residency can be enabled, across Standard, Premium and Enterprise subscriptions. Trello does not appear on that list, so a residency commitment for Trello boards, comments and attachments cannot be assumed from the Atlassian cloud products that are named. Treat this as a question to put to Atlassian in writing, not as a conclusion about where Trello data is stored today. Check the Atlassian data residency page for the current product list before you rely on it.
Ask your Atlassian account team for the current residency terms that apply to Trello, including which regions are offered, whether Trello data is covered by your plan, and what happens to attachments and comments, which are often stored separately from board data. Then compare the answers with the data processing agreement and the order form in your contract, since a product page describes the general offering while the contract describes your obligations. Record who gave the answer, the date and the document reference, because a procurement or privacy review will ask for that evidence.
If the answer is unclear or does not meet your requirement, the decision is whether to keep Trello under its current terms with documented controls, or to move boards to a self-hosted tool that your organization places in an EU data center. Both WeKan and Nextcloud Deck can run in an EU region you choose, so the question of where the data sits becomes a question for your own infrastructure team and your cloud contract. Plan the work as a residency check, a risk note for your data protection officer, and a migration schedule, and confirm each step with your legal and privacy owners before any boards move.
How to deploy WeKan or Nextcloud Deck in an EU data center
This sequence takes an organization from a chosen EU hosting location to a running kanban app with controlled backups, identity integration, migrated boards and a documented chain of processors.
Confirm the EU hosting location and provider contract
Your legal or privacy lead confirms which EU or EEA data center, and which hosting provider, will store boards, comments and attachments, and that the provider contract names that location and covers processing terms. Your engineers check where backups, logs and support access will sit, since remote access from a third country counts as a transfer under the EDPB's guidance. The step is done when you hold a written location statement and a signed contract that names the processing locations.
Choose the database and login backend
Decide between WeKan's default FerretDB v1 with SQLite, FerretDB with PostgreSQL, or MongoDB 6 to 9, and for Nextcloud Deck choose the supported database such as PostgreSQL 18 or MariaDB 11.8 as recommended for Nextcloud 35. Pick the identity source next, either your LDAP or Active Directory service, SAML or OpenID Connect. The output is a short architecture note listing the database, the login method and the server location, which your security team reviews before any install.
Install the app and its dependencies
Your platform engineers deploy WeKan from its published Docker, Snap or Kubernetes images, or deploy Nextcloud Server with Deck, preferably through Nextcloud All-in-One, which bundles PostgreSQL, caching and BorgBackup. They place the services on hosts inside the chosen EU location and restrict outbound connections. The step closes when a test board can be created, edited and read by a test user from inside the network, and the server software versions are recorded in your configuration inventory.
Connect LDAP or SAML for user sign-in
Your identity team connects the app to your directory: Nextcloud's LDAP app lets directory users sign in with their existing credentials, and WeKan lists SAML and LDAP login options. Test that departed users lose access and that group membership maps to the right boards. Confirm the setup with a reviewer who can explain which identity provider holds authentication data. The step is complete when a sign-in test passes for an active user and a disabled account is refused.
Set backups and upgrade windows
Your operations team sets encrypted backups of the database and file storage, stored in the same EU jurisdiction, and tests a restore on a separate host. For Nextcloud, plan upgrades one major version at a time, back up before each upgrade, and disable third-party apps until they are confirmed compatible. For WeKan, which releases very frequently, pin a tested version and schedule updates. The output is a backup policy, a restore test record and a written upgrade calendar approved by the service owner.
Migrate boards from Trello
Your team imports boards using WeKan's Trello import or Nextcloud Deck's import tooling, working from the export your Trello plan allows. Confirm which comments, attachments and archived cards survive, because the JSON export is capped at the 1,000 most recent actions per board. Run a pilot board first and compare card counts, comments and attachments with the source. The step is done when a sign-off list shows each migrated board matches its source, and any gaps are recorded for manual handling.
Document the processor and sub-processor chain
Your privacy and compliance team writes down every party that can reach the data: the hosting provider, any support vendor, backup and monitoring services, and any third-country access path. For each one, record the location, the contract basis and whether a third-country authority could compel access, as the EDPB Recommendations 01/2020 and Article 48 of the GDPR call for assessment. Keep this record with the architecture note. The step closes when the register is approved and dated, and it is ready for review by your auditor or data protection authority.
Evidence an auditor or data protection officer will ask for
An auditor or data protection officer will test whether the organization knows where its board data sits, who can reach it and how it could be restored. The cards below list the records that answer those questions for a self-hosted WeKan or Nextcloud Deck instance in an EU data center. DeployOpen prepares this evidence with you, but it does not issue audit reports or certifications; independent auditors and certification bodies do.
Data location register
Record every place board data lives: the application host, the database, attachment storage, backup targets, log stores and any monitoring service that receives metadata. Name the city or region and the cloud account or data center for each. For WeKan, the database may be MongoDB or FerretDB with PostgreSQL, and for Nextcloud Deck, attachments sit in the Nextcloud data directory, so both need an entry. Confirm with your hosting provider that replicas and support snapshots stay inside the EU.
Transfer impact assessment
Document whether any step moves personal data outside the EEA, including remote support sessions where a vendor engineer views a screen from a third country. Under the EDPB's Guidelines 05/2021, remote viewing and storage outside the EEA both count as transfers. Assess whether any provider could be compelled by foreign law to disclose data, and record the result and the measures you chose.
Processor contract and sub-processor list
Keep the signed data processing agreement for every party that touches the instance, including the hosting provider, the managed database operator, the backup vendor and any support firm. Require a current sub-processor list with locations and a notice period before changes. Check that the contract covers deletion at exit and the data processing terms the GDPR requires, and ask counsel to confirm the clauses.
Access and audit logs
Retain logs that show who logged in, who changed board permissions, who exported or deleted a board and which administrator accessed the server. Put them in a store the application administrators cannot edit, and set a retention period that matches your policy. For SSO, keep the identity provider's sign-in records alongside the application logs so that a single login can be traced end to end.
Backup location and restore tests
Record where each backup is stored, how it is encrypted, who holds the keys and how long copies are kept. A backup in an EU bucket does not help if the restore runs only on a laptop. Run a timed test restore of a WeKan database or a Nextcloud instance into a separate environment, then record the result and the gaps. Nextcloud All-in-One includes BorgBackup-based backups, which you should verify against this requirement.
Administrator and vendor access list
List every person and vendor account that can administer the server, the database, the container host or the Nextcloud admin panel. Include support engineers, contractors and break-glass accounts, and record who approved each grant and when it expires. Auditors will compare this list against the sign-in logs, so keep the two in step and remove accounts when a contract ends.
Questions buyers ask before choosing a self-hosted Trello alternative
Does self-hosting remove all GDPR transfer exposure?
No. Self-hosting removes the transfer created by a vendor's cloud region, but it does not settle every question on its own. The EDPB Guidelines 05/2021 state that remote access from a third country, even only displaying data on a screen for support or administration, counts as a transfer, and that storage in a cloud outside the EEA does too. So the answer depends on where the servers run, who holds administrator access, and whether any support provider or hosting company is subject to third-country law. Ask your hosting provider and your support partner in writing where data is stored, which entities can access it, and from which countries. Treat the EDPB guidance as the reference for that review, and involve your data protection officer before choosing a host.
What drives the cost of running a self-hosted Trello alternative?
Cost falls into four groups: infrastructure, staff time, optional software support and migration. Infrastructure covers servers or cloud instances in an EU data center, the database, storage for attachments, backups and monitoring. Staff time covers installation, hardening, upgrades and the on-call work for restores. WeKan is MIT licensed and Nextcloud Server is AGPL-3.0, so there is no per-user license fee for the open-source code, but Nextcloud Enterprise is a paid offering with a 100-user minimum and list prices from 71.29 euros per user per year for the Standard tier, according to Nextcloud's pricing page. Migration is mostly one-time, while hosting and maintenance recur. Ask any quote to split these components so you can compare them with your current Trello plan line by line.
How long does a self-hosted Trello migration take?
The timeline depends on board count, attachment volume, identity integration and how much testing your teams need before cutover, so no general duration applies. A small pilot with a few boards is far shorter than a full move with single sign-on and archived history. Trello's JSON export only carries the 1,000 most recent actions per board, which affects how much history you can bring across and how much effort a reconciliation needs. Ask for a fixed written scope that lists the boards in scope, the import method, the identity setup, the test cycle and the handover, with the timeline agreed before work starts. Most DeployOpen engagements are fixed-scope, so the timeline comes from that document.
Can our internal team run a self-hosted Trello alternative without outside help?
Yes, many teams can, provided they have people who can operate a web application and its database. WeKan can run on MongoDB 6 to 9 or on its default FerretDB v1 with SQLite, which needs no separate database server, and it ships as a Snap, AppImage, or Docker and Kubernetes images. Nextcloud is installed through Nextcloud All-in-One, which bundles caching, PostgreSQL, backups and antivirus. The skills you need include Linux administration, container or snap operations, backup and restore testing, TLS and identity configuration, and the discipline to upgrade. Nextcloud does not allow skipping major releases, so each upgrade must go one major version at a time with a backup first. Assess these skills honestly before you decide.
What do WeKan paid support and Nextcloud Enterprise add?
Both are paid layers on top of free open-source software, and the open code remains available either way. WeKan's README offers official private pre-paid support from wekan.fi and a SaaS that is free with the app or paid with the admin panel. Nextcloud Enterprise is sold in Standard, Premium and Ultimate tiers. Standard includes 1-year maintenance, Premium adds a maintenance lifecycle of 5 or more years plus extended support hours and clustered instance support, and Ultimate adds support up to 24/7 with response times down to 1 hour, according to Nextcloud's pricing page. Compare those tiers against your uptime needs and your internal skills. DeployOpen supports self-hosted platforms through its own fixed-scope engagements and retainers, which is a separate service from either vendor's support.
Which EU data residency checks should go into a Trello replacement review?
Start with a short list of questions your auditor and data protection team will ask. Confirm the physical location of servers, backups and attachment storage, including any replicas and offsite copies. Map every party with administrator or support access and their country of establishment. Check whether any hosting or support contractor is subject to a third-country law that could require disclosure, because the EDPB's Recommendations 01/2020 say that where such powers go beyond what is necessary and proportionate, no effective technical supplementary measure may exist. Record the answers as evidence. DeployOpen prepares systems, controls and evidence for compliance assessments, but independent auditors issue any audit report or attestation.
Does moving off Trello mean Atlassian data residency is no longer needed?
Trello is not among the cloud products that Atlassian lists for data residency, which are Jira, Confluence, Jira Service Management and Jira Product Discovery, on Standard, Premium and Enterprise subscriptions. So if you need boards kept in a specific region, Trello does not offer that option. A self-hosted board in an EU data center gives you control over where data lives, but it moves the compliance work to you or your hosting partner. Confirm with your legal team which regulations apply to your boards, comments and attachments, and whether the Data Act switching rights, which apply from 12 September 2025, change your contract position with any provider.
What the Data Act means if you leave a cloud provider later
The EU Data Act gives customers a legal right to leave a data processing service, and that right matters for any board tool hosted by a vendor. Under the Data Act, which has applied since 12 September 2025, a customer can switch from one data processing service to another provider or to on-premises ICT infrastructure. The customer must give notice, with a maximum notice period of two months, and the switch is then carried out within a 30-day transition. From 12 January 2027, providers may no longer charge for switching. Before relying on these rights, ask your vendor in writing how it defines its switching process, what data it returns and in which format, and which exit fees currently apply.
A right to switch is only useful if the data can leave the service in a usable form. Export functions vary by product and by plan, so the practical test is to run a full export of your boards, comments and attachments before a renewal forces a decision. Check which elements are included, which are excluded and whether attachments come out as files or only as links. The Data Act's switching rights do not replace this check. They set the timetable for a move, but the content of the export still depends on the vendor's tooling. Export limits for Trello are covered on the sibling pages on exporting Trello data and migrating to WeKan or Nextcloud Deck.
A self-hosted board gives your organization exit options that do not depend on a vendor's notice period. When WeKan or Nextcloud Deck runs in your own EU data center, the database and attachment storage sit on infrastructure you control, so a move to another platform starts with your own backups rather than a request to a supplier. Confirm that your backup design covers the database, the attachment store and the configuration, and test a restore on a separate host at least once a year. Keeping an exportable copy in an open format also means that a future decision about Data Act switching, or about the Data Act's rules on third-country access, becomes an internal planning exercise rather than a negotiation.
