When Microsoft 365 or Nextcloud Hub fits your organization
Microsoft 365 fits organizations that want one managed suite with desktop Office and Outlook, and Nextcloud Hub fits organizations that need files, browser office editing and groupware on infrastructure they control, accepting that mail and calls are assembled separately. The choice usually starts with a renewal, a licensing change or pressure from data residency or lock-in, but the answer depends on which workloads your users cannot give up. If most staff live in Word, Excel and Outlook on Windows and expect Microsoft to own the patching and mail service, the managed suite is the lower-risk path. If the priority is keeping files, documents and calendars on servers you run, with a clear exit path, Nextcloud Hub is the better starting point, provided you accept that Nextcloud does not include a mail server and that Collabora Online handles browser editing rather than desktop Office.
Several factors decide the outcome. First, desktop Office dependence: Collabora Online edits .docx, .xlsx and .pptx in the browser, but macros, add-ins and complex layouts need testing with your own documents before you commit. Second, mail server ownership: Nextcloud Mail is a client for existing IMAP and SMTP servers, so you must choose and operate the mail platform yourself, or pair it with an Enterprise subscription that optionally includes Stalwart. Third, meeting scale: Nextcloud Talk without the High Performance Backend is peer to peer and is only suited to small groups, so large Teams-style meetings require planning for a separate backend. Fourth, user count against the 100-user minimum for Nextcloud Enterprise, since smaller organizations face different subscription options. Fifth, in-house operating capacity to run upgrades one major version at a time, take backups before each upgrade and test third-party apps.
Which option fits which scenario
This table matches common Microsoft 365 requirements to the option that usually fits better, with the supplied fact behind each choice. Read it against your own user count, mail client, residency rules and meeting profile, since several rows depend on a subscription tier or deployment decision you still need to confirm.
| Scenario | Better fit | Reason |
|---|---|---|
| Heavy desktop Word and Excel macro use | Microsoft 365 Apps or Office LTSC for desktop work | Collabora Online edits .docx, .xlsx and .pptx in the browser, but browser editing does not replace desktop macro workflows. Test your macros in Collabora before deciding. |
| Outlook as the primary mail client | Microsoft Exchange Server SE or grommunio if Outlook must stay | Nextcloud Mail is a client for existing IMAP and SMTP servers. Keeping Outlook means a server that speaks MAPI, EWS or ActiveSync, which Nextcloud does not supply by itself. |
| Mail that must stay on-premises | Nextcloud with a mail server you run yourself | Nextcloud does not include a mail server. Exchange Server SE is generally available from July 1, 2025, so confirm which mail server you will run before choosing the file and groupware stack. |
| Data residency with no mail server in scope | Nextcloud Hub for files, Office and Talk | Files, documents and chat can stay in your own infrastructure, while mail remains a separate system you must select and operate. Confirm the mail platform before you sign a residency commitment. |
| Small teams under 100 users | Nextcloud Community edition or Nextcloud One | Nextcloud Enterprise requires a 100-user minimum, and Nextcloud One managed hosting is offered for organizations under 100 users (Nextcloud pricing page). Support options for smaller teams should be confirmed directly with the vendor. |
| Enterprise support and 100 or more users | Nextcloud Enterprise (Standard, Premium or Ultimate) | Enterprise tiers start at 100 users, include vendor support and add Outlook, SharePoint, Windows desktop and Teams integrations (Nextcloud Groupware page). Compare the tier against Microsoft's Business plan limit of 300 users. |
| Large meeting volumes with many video participants | Nextcloud Talk with the High Performance Backend, or a dedicated video platform | Talk calls without the High Performance Backend are peer to peer, and the documentation says about 20 users is possible only with fast connections and video disabled. Webinars and SIP dial-in also need the High Performance Backend. |
| Collaborative editing across many concurrent users | Collabora Online deployed on Kubernetes with manual replica sizing | Collabora Online runs in the browser through WOPI, but its Helm chart disables autoscaling because scaling breaks collaborative editing. Plan replicas and WOPISrc-based routing with your platform team. |
What Nextcloud Groupware covers and the mail server it leaves out
Nextcloud Groupware bundles Calendar, Contacts and Mail, but the mail itself must come from somewhere else. Nextcloud Mail is a client for existing IMAP and SMTP servers, and Nextcloud does not include a mail server in its community product. The Nextcloud Enterprise subscription can optionally include Stalwart as the mail server and MTA, which is the only mail path Nextcloud itself offers inside its subscription. Before scoping anything, decide which of these two situations applies to your organization: you keep an existing mail platform and point Nextcloud Mail, Calendar and Contacts at it, or you are replacing Exchange and must select, host and operate a mail server as a separate workload.
If your organization is replacing Exchange, the mail server is the decision that shapes the rest of the project. Microsoft's own paths remain Exchange Server Subscription Edition and Exchange Online, and a move to Nextcloud Groupware is a move away from Exchange rather than a change of Exchange version. Ask whether mail, calendar and contacts for each user must sit on the same server, who will administer message routing, spam filtering, retention and mailbox backup, and whether Stalwart under an Enterprise subscription meets your requirements or whether a different mail platform is needed. Each choice carries its own operating model and support boundary, so record it in the written scope before any migration work begins.
Confirm two things in writing before relying on Outlook access. First, check with your chosen mail server vendor which Outlook connection methods it supports for desktop and mobile clients, since Nextcloud's own Groupware documentation does not replace that check. Second, confirm exactly which Outlook, SharePoint, Windows desktop, Microsoft Office Online Server and Teams integrations are in scope under your Nextcloud Enterprise subscription, and which ones depend on your own configuration or third-party components. Read the Nextcloud Groupware page against your user population and client mix, and treat any gap as a scoped item rather than an assumption.
Where the data sits and who controls updates, identity and compliance
Microsoft 365 and self-hosted Nextcloud Hub differ mainly in who operates the platform, where the data physically sits and who decides when updates land. The cards below set out those decisions, the identity options and what compliance readiness work covers on each side.
Where the data is stored
Microsoft 365 keeps tenant data in Microsoft-operated datacenters, and the location commitments depend on the tenant configuration and the service. With Nextcloud Hub, the data stays in the storage you provision, whether that is your own cloud account, a datacenter you run or an air-gapped network. Ask Microsoft which data location commitments apply to your tenant, and document where Nextcloud data, backups and search indexes will physically reside.
Who controls updates
Microsoft changes the Microsoft 365 service on its own schedule, and administrators manage the timing of client updates rather than the service itself. Nextcloud publishes a new major version every four months and supports each for one year through monthly maintenance releases. You must schedule upgrades one major version at a time, back up before each one and disable third-party apps until they are confirmed compatible.
Hosting models and managed options
Nextcloud Hub can run in your own cloud account, on your own servers or in an air-gapped network. Organizations that do not want to run the platform can use Nextcloud One managed hosting, which Nextcloud offers to organizations under 100 users. Larger organizations need to compare self-operation, a DeployOpen-implemented deployment in their own infrastructure and an Enterprise subscription, and confirm which hosting option Nextcloud currently offers.
Identity through LDAP, OIDC and SAML
Microsoft 365 authenticates users through Microsoft Entra ID. Nextcloud can let LDAP and Active Directory users appear in the platform and sign in with directory credentials through its LDAP app, and it also documents OpenID Connect and SAML user authentication backends. Confirm which identity provider will be the source of truth, how groups map to Nextcloud roles and how sessions and multi-factor policy are enforced before cutover.
Audit logs and evidence collection
Microsoft 365 provides audit and eDiscovery tooling inside the tenant, and some of it depends on the license tier. On Nextcloud, you decide which logs are retained, where they are sent and who can read them. Define which administrative and access events you need, confirm the retention period your regulator expects and set up a process to export evidence on a fixed schedule.
Compliance readiness and assessor scope
DeployOpen plans and implements the controls, configuration baselines, backup and access evidence that an assessment needs, and it can prepare the system for review. DeployOpen does not issue audit reports, attestations or certifications, and independent auditors or certification bodies make those determinations. Agree in writing which controls the implementation covers, which ones remain with your organization and which assessor will review the evidence.
How Nextcloud Enterprise tiers compare with Microsoft 365 Business plans
Nextcloud Hub is free to self-host under the AGPL, so the software itself carries no license fee. What Nextcloud GmbH sells is a Nextcloud Enterprise subscription, which buys support, maintenance and additional features on top of the community code. Enterprise comes in Standard, Premium and top-tier levels with a 100-user minimum. Nextcloud's pricing page lists 71.29 euros per user per year for Standard, 104.99 euros for Premium and 204.75 euros for the top tier, each for 100 or more users, with lower rates from 200 users. At 100 users, Standard list prices come to 7,129 euros a year before any negotiated discount. Get the rate for your exact user count in writing, because list prices are a starting point.
The tiers differ mainly in how long and how quickly Nextcloud supports you. Standard includes one year of maintenance. Premium adds a maintenance lifecycle of five or more years, extended support hours and clustered instance support, which matters if you run more than one Nextcloud node. The top tier adds support up to 24/7 with response times down to one hour. Nextcloud supports each major release for one year and does not allow skipping major versions during upgrades. A longer lifecycle therefore does not remove upgrade work. Ask each vendor which tier covers help with the sequential upgrades and with checking third-party apps before each one.
Microsoft's Business plans are limited to 300 users, so the comparison depends heavily on headcount. Below 100 users, Nextcloud Enterprise is not available, and Nextcloud's managed hosting option, Nextcloud One, is the route for smaller organizations. Between 100 and 300 users both models apply, and the decision turns on per-user cost, support terms and who operates the platform. Treat Collabora Online as a separate line item. Its Business plan costs 3 euros per user per month for up to 99 users and includes long term support, an SLA and signed security updates. Its Enterprise plan for 100 or more users is quoted with volume discounts. Confirm whether your Nextcloud quote covers Office editing, and confirm current Microsoft plan limits and prices with Microsoft.
What you pay for on each side, one-time and recurring
Microsoft 365 bundles most of its costs into a per-user subscription, while a self-hosted Nextcloud Hub stack spreads cost across infrastructure, software subscriptions and people. The cards below show who is paid for each component, which costs are one-time or recurring, and what moves each number up or down.
Microsoft 365 per-user and E3 or E5 licenses
Microsoft 365 charges per user for the suite, and some capabilities sit in higher tiers. Exporting mailboxes and SharePoint or OneDrive content through Purview eDiscovery requires an E3 or E5 license, so an exit plan may need those add-ons for the admins doing the export, not only for daily use. Check which users, mailboxes and sites your migration will touch, and whether your current licenses already include the export rights. Costs recur every billing period for as long as the tenant stays subscribed.
Servers, Kubernetes or VM capacity
Self-hosting moves the platform cost onto compute you pay for directly, either from your own data center or a cloud account. Nextcloud, Collabora Online and the mail server each need capacity sized for user count and peak editing load, and Collabora's Helm chart recommends production resource limits per pod. This cost is recurring and grows with usage, so ask your team or partner to size it from your user profile and document the assumptions in the quote.
Storage and backup
Storage costs scale with the files, mail and version history you keep, and every copy you hold adds cost. Backups are a separate line: Nextcloud All-in-One bundles BorgBackup-based backups, but retention periods, off-site copies and restore testing still need your own decisions and budget. Storage and backup recur monthly or yearly, and they rise with retention rules. Confirm who owns the backup target and the restore test schedule.
Collabora Online Business or Enterprise plans
Collabora Online is free to run through CODE, but CODE is not recommended for production. The paid Business plan is priced per user per month for up to 99 users and adds long term support, an SLA and signed security updates. The Enterprise plan for 100 or more users is quoted with volume discounts and adds integration support. This is the recurring cost to weigh against the risk of running an unsupported editing service in production.
Nextcloud Enterprise subscription
Nextcloud Hub is free to self-host under AGPL, but Nextcloud GmbH sells Standard, Premium and Ultimate subscriptions with a 100-user minimum. These add support, maintenance periods and enterprise features such as the Outlook, SharePoint and Teams integrations. Compare the tier with your support hours and upgrade plan, because a Standard tier includes one year of maintenance while Premium extends the lifecycle. Subscriptions recur annually and are the main licensing line to compare against Microsoft 365.
Talk High Performance Backend and mail server
Nextcloud Talk calls stay peer to peer unless you run the High Performance Backend, which lobbies and SIP dial-in require. Nextcloud does not include a mail server, so Nextcloud Mail needs an IMAP and SMTP server you run or license, such as Open-Xchange, or Stalwart through the Enterprise subscription. Both add infrastructure and possibly license cost, recur with operation, and should be scoped before you size the platform.
Migration services and ongoing upgrades
One-time migration work covers mapping users, exporting mail and files, cutover and user training. Recurring work covers upgrades, because Nextcloud requires one major version at a time with a backup before each upgrade, and each major release is supported for one year. Ask any implementation partner for a fixed-scope quote with written deliverables, and decide whether upgrades and monitoring are handled in-house or under a retainer.
What a move from Microsoft 365 to Nextcloud Hub involves
The sequence moves mail, files and office documents in an order that keeps data recoverable, from inventory through decommissioning. Each step closes with a check the team can verify before the next one starts.
Inventory workloads and license holders
List every Microsoft 365 workload in use: Exchange mailboxes and shared mailboxes, SharePoint sites and libraries, OneDrive accounts, Teams chats and recordings, and the Office apps people rely on. Record who holds each license, which users are guests or external sharers, and which retention or legal hold policies apply. Your Microsoft 365 administrator and the business owners of each site should confirm the list. The output is a signed inventory that maps each workload to a target in Nextcloud Hub, Collabora Online or a separate mail server, and flags anything without a direct equivalent, such as desktop Office features or Teams meeting recordings.
Run a pilot with one user group
Choose a small group that can tolerate change, such as an IT or project team, and move its files, calendars and mail to the target stack first. Test sync clients, sharing links, document editing in the browser and mobile access. Confirm how Nextcloud Mail connects to the mail server you have chosen, since Nextcloud Groupware does not include a mail server. The pilot is finished when the group completes its normal work for an agreed period and the open issues are logged with owners and fixes.
Export mail, files and version history
Use Microsoft Purview eDiscovery search exports to pull Exchange mailbox items as PST or .msg files and SharePoint and OneDrive content as native documents, with the version history you select. Exporting requires a Microsoft 365 E3 or E5 license, so confirm that before you start. Search export packages expire 14 days after creation, so download and checksum each package promptly and store it in a controlled location. Confirm the export matches the inventory by comparing item counts and a sample of documents against the source. The check is a verified copy for every workload in scope.
Select and cut over the mail server
Choose a mail server that Nextcloud Mail can use over IMAP and SMTP, or the optional Stalwart server included with a Nextcloud Enterprise subscription, and confirm its support terms and how it handles your existing domain, anti-spam and archiving needs. Import the exported mail, then move MX records and client settings in a planned window. Outlook users will need a path that works with your chosen server, so confirm which Outlook connection method it supports before promising it. Done means mail flows in and out and each user confirms their mailbox is complete.
Integrate identity through LDAP or OIDC
Connect Nextcloud to your directory so users sign in with existing credentials. Nextcloud's LDAP app lets LDAP and Active Directory users appear in Nextcloud and log in with their directory credentials, and OpenID Connect and SAML backends are also documented. Decide which source is authoritative for groups, deprovisioning and guest accounts before go-live. Test that a disabled account loses access to files and sync clients. The output is a tested login path and a documented group-to-share mapping.
Deploy Collabora Online for office documents
Install Collabora Online and connect it to Nextcloud Office so Word, Excel and PowerPoint files open and edit in the browser. Confirm format fidelity on a sample of real .docx, .xlsx and .pptx files from the pilot, including macros, tracked changes and complex layouts that users depend on. Plan the load balancer so all users editing one document reach the same pod, as the Collabora Helm chart documents. Confirm which Collabora edition and support level fits your operations. The check is a sample set of documents that open, save and round-trip correctly.
Communicate and migrate remaining users
Tell each group what changes, when their data moves, how to reach it on the new stack and where to get help. Move remaining users in waves that follow the pilot's lessons, and keep the original Microsoft 365 data available until each wave is verified. Track support tickets and access issues by group. Done means each wave signs off that its files, mail and calendars are present and that shared links and permissions resolve correctly.
Back up, upgrade in order and decommission
Before any upgrade, take a full backup of Nextcloud and its database, and disable third-party apps until they are confirmed compatible. Nextcloud does not allow skipping major releases, so each upgrade moves one major version at a time, with a backup before each. Once the business has accepted the new environment and retention obligations are met, remove Microsoft 365 licenses and data according to your own retention policy, and keep a retained archive for the period legal or regulatory requirements demand. Sequence this before any subscription change or lifecycle deletion, since data can be lost once a license lapses.
Questions buyers ask before moving from Microsoft 365 to Nextcloud Hub
What does moving from Microsoft 365 to Nextcloud Hub cost?
The software is free under the AGPL, so the cost is made up of infrastructure, an enterprise subscription if you want one, implementation, and ongoing operations. Nextcloud Enterprise is sold in Standard, Premium and Ultimate tiers with a 100-user minimum, and the list prices on the Nextcloud pricing page start at 71.29, 104.99 and 204.75 euros per user per year for 100 or more users, with lower rates from 200 users. Collabora Online adds its own licensing if you run it in production: the Collabora pricing page lists a Business plan at 3 euros per user per month for up to 99 users. Ask for a quote that separates one-time work from recurring subscription, hosting and support costs, and compare it with your current Microsoft 365 and add-on licenses.
How long does a Microsoft 365 to Nextcloud migration take?
The duration depends on data volume, the number of users, how many workloads move, and how much customization your environment needs, so no general figure applies. Mail is usually the longest workstream because Nextcloud does not include a mail server, so you must first decide where mail will live. Plan for the file migration, identity integration, Office editing setup and user training as separate tracks. Most engagements are fixed-scope, so the timeline is agreed in writing before work starts. Ask for milestones tied to cutover waves rather than a single date.
What does the migration need from our internal team?
You will need named owners for identity, mail, storage, networking and security, plus business owners who can decide retention, sharing rules and cutover dates. The identity team matters most because Nextcloud's LDAP app lets Active Directory users sign in with their directory credentials, and OpenID Connect and SAML backends are also documented. Your team also has to approve the hosting platform, database choice and backup target. Nextcloud recommends MariaDB 11.8 or PostgreSQL 18 for Nextcloud 35, so confirm your database and PHP support plan early. Ask the implementation partner to list every internal dependency in the written scope.
Can our own IT team run the migration without an implementation partner?
A capable team can do parts of the work, especially a pilot, but a production move touches identity, mail, compliance evidence and upgrades at the same time. Nextcloud All-in-One is the official installation method and bundles Redis, PostgreSQL, optional Nextcloud Office, Talk and BorgBackup-based backups, which lowers the initial setup effort. Upgrades still need planning, because Nextcloud does not allow skipping major releases and administrators must back up before every upgrade. Decide which tasks your team owns, which a partner delivers under a fixed scope, and which need an ongoing retainer for support and upgrades.
How many people can join a Nextcloud Talk meeting?
Talk without the High Performance Backend is peer to peer, and the Talk scalability documentation says about 20 users are possible in a typical setup only with fast connections and video disabled, at roughly 1 Mbit/s per video stream. Webinars with a lobby and SIP dial-in by phone need the High Performance Backend, which you should size and test before relying on it for larger meetings. Confirm the expected participant count, video use and bandwidth at each site with Nextcloud's documentation and a load test in your own network. If Teams meetings with large audiences are a requirement, evaluate the video conferencing options before committing.
Does Nextcloud include a mail server to replace Exchange Online?
No. Nextcloud Groupware combines Calendar, Contacts and Mail, but Nextcloud Mail is a client for existing IMAP and SMTP servers, and Nextcloud does not include a mail server. The Nextcloud Enterprise subscription can optionally include Stalwart as the mail server and MTA. If you want a separate groupware platform, Open-Xchange provides the OX App Suite for email, calendar and documents, and Dovecot is part of its product line. Choose the mail platform before design work starts, because it affects identity, mailbox migration, mobile sync and the Outlook experience.
Will desktop Word, Excel and PowerPoint files still work for our users?
Collabora Online edits ODF and Microsoft formats including .docx, .xlsx and .pptx in the browser, and it integrates with Nextcloud through the WOPI protocol. Browser editing is not the same as the desktop Office apps, so macros, complex layouts, add-ins and some advanced features may not behave the same way. Test a representative set of your own documents, templates and macro-enabled files with the users who depend on them. Confirm the compatibility of each file type and feature with Collabora and Nextcloud before you set the cutover scope.
How often do we need to upgrade Nextcloud?
Nextcloud publishes a new major version every four months and supports each one for a year through monthly maintenance releases that address critical bugs and security problems. Nextcloud 35 (Hub 26 Summer) was released on 16 September 2026 with end of life in September 2027, and Nextcloud 36 is scheduled for 17 February 2027. Because you cannot skip major releases, plan a recurring upgrade cycle with backups, a staging environment and a check of third-party apps before each step. Ask your implementation partner and Nextcloud which support tier covers your upgrade windows.
How DeployOpen helps you evaluate, implement and migrate
DeployOpen is a Chainscore Labs company that plans, implements, integrates, hardens, backs up and documents self-hosted open-source platforms inside your own cloud accounts, data centers or air-gapped networks. For Microsoft 365 vs Nextcloud Hub, we start by agreeing what Nextcloud Hub must cover in your environment, then build, test and hand over only what the written scope includes.
How we scope
- We map your OneDrive, SharePoint, Teams and Outlook usage to Nextcloud Files, Office, Talk and Groupware before any build starts.
- We confirm your mail server approach, since Nextcloud Groupware does not include a mail server and Mail needs existing IMAP and SMTP services.
- We confirm the subscription tier, user count and Outlook or Teams integrations you need, then record them in the written scope.
How we build
- We install and configure Nextcloud, Collabora Online, Talk and directory login in your infrastructure, following the vendor's documented requirements.
- We test document editing, sharing permissions, video calls and directory login against the scope, including Talk limits for larger meetings.
- We set up backups, antivirus scanning and upgrade procedures, including the one major version at a time upgrade path.
How we hand over
- We deliver architecture notes, configuration records, runbooks and a user migration plan, all tied to the agreed scope.
- We document the export steps for mail and files from Microsoft 365 and the cutover order for each workload.
- We walk your administrators through daily operations, upgrades and restore tests before the engagement closes.
How we support
- Engagements are fixed-scope, with scope, deliverables and timelines agreed in writing before work starts.
- Ongoing support, upgrades and continuous testing are available as a retainer, and a quote follows from the written scope.
- Ask us to confirm which parts of Nextcloud Enterprise support your team will still need from Nextcloud GmbH, and which we cover.
