Pipedrive vs EspoCRM

Pipedrive suits teams that want a hosted, pipeline-first CRM with no servers to run. EspoCRM suits teams that need their pipeline data on their own servers, under AGPL-3.0, with the operating work that brings.

Pipedrive or EspoCRM: which fits your sales team?

Pipedrive fits best when a pipeline-first SaaS product is the goal and someone else should run the platform. If your renewal is coming up but your team is small, your data residency is not restricted, and you want deal boards, mobile apps and a vendor handling uptime and upgrades, staying on Pipedrive is often the simpler choice. A self-hosted EspoCRM fits better when customer data must stay in your own infrastructure, when you already have people who can operate a PHP and MySQL, MariaDB or PostgreSQL stack, or when per-seat pricing and plan-based API limits have become hard to forecast.

The decision turns on four questions. First, where must the data live? If a residency or contractual rule places customer records inside your own cloud account or data center, self-hosting is the direct answer. Second, who will run the servers? EspoCRM needs a web server, a database, and cron or a scheduled task for background jobs, and someone must own backups, restores and upgrades, which the installation script's command.sh utility supports but does not replace. Third, do reports and workflows need to be in the base product? EspoCRM's reports, Business Process Management and workflows come through the Advanced Pack, which is included in its cloud plans, so confirm the self-hosted licensing and extension terms before you compare. Fourth, how many users will log in? Count named users, admins and integration accounts, then compare that total against Pipedrive's plan tiers and against your own support hours.

Which option fits which sales team situation

This table matches common sales team situations to the platform that usually fits better, with the condition that makes each choice matter. Read each row against your own constraints, such as hosting capacity, residency rules and the mobile and email habits of your reps. Several rows point to Pipedrive, so the table is a fit check rather than a verdict in favor of self-hosting.

Team situationBetter fitWhy and when it matters
A small team that wants no servers to runPipedrivePipedrive is hosted by its vendor, so no one on your side patches or backs up the application. EspoCRM only makes sense here if you accept a managed EspoCRM Cloud plan or have someone to run the stack.
A team with a strict data residency ruleEspoCRMSelf-hosting lets you place the database and files in a region or facility you choose. Confirm the hosting location and backup copies against your residency policy before you pick it.
A team that needs custom pipeline reports and workflowsEspoCRMEspoCRM reports and workflows sit in the Advanced Pack, which is included in EspoCRM Cloud plans. Self-hosted installs need the extension licensed separately, so check its terms for your use.
A team with an IT group that already runs PHP and MariaDBEspoCRMEspoCRM needs PHP 8.3 to 8.5, MariaDB 10.6 or newer, and cron for background jobs. Existing staff and monitoring can absorb this load, which lowers the effort of running it.
A team that relies on Pipedrive's mobile app and email syncPipedrivePipedrive's mobile and email features are mature and widely used by reps. Test EspoCRM's mobile and email options with real users before cutover, and confirm any sync feature your reps depend on.
A team that must avoid per-seat growthEspoCRMSelf-hosted EspoCRM has no per-seat license fee, so cost shifts to hosting, administration and support. Compare the total of these with your current Pipedrive plan and seat count.
A team that needs single sign-on through an existing identity providerEspoCRMEspoCRM supports OpenID Connect and LDAP, including Active Directory. Note that EspoCRM's own two-factor authentication is not compatible with OIDC, so plan your MFA at the identity provider.

How deals, reporting and email compare day to day

Pipedrive is built around a visual deal pipeline, where reps move cards between stages and see value and activity at a glance. In EspoCRM, opportunities are handled through list views and a kanban view that can group records by a stage field, so a sales team can keep a board-style workflow. The difference is in the defaults and the polish: Pipedrive's pipeline is the centre of the product, while EspoCRM treats the pipeline as one view among several records and layouts.

  • Stage boards: Pipedrive shows one pipeline per board with deal cards and weighted value per stage. EspoCRM needs a stage field and a kanban layout configured in the Entity Manager.
  • Activities on deals: Pipedrive places next activities directly on each card. In EspoCRM, activities and tasks are linked records that you surface in the deal layout.
  • Multiple pipelines: Pipedrive supports several pipelines for different sales motions. Plan how EspoCRM stage fields and views will mirror each one.
  • Custom fields: Both products allow custom fields. EspoCRM field definitions are managed through the administration interface, which suits teams that want fine control over layouts.
  • Bulk updates: Mass actions on lists are available in both, so check that the list and kanban behaviour fits your daily routine.

Confirm the exact stage, card and pipeline behaviour in Pipedrive's current documentation, then build one pilot pipeline in a test instance of EspoCRM with real rep workflows.

Capabilities side by side: what each platform covers

This table compares the capabilities that matter most when you replace or run a sales pipeline: licensing, hosting, APIs, sign-in, scripting, reporting and data export. Where a cell says to confirm, the answer depends on your Pipedrive plan or your EspoCRM version and should be checked before you decide. The main takeaway is that EspoCRM gives you control over hosting and data, but reporting and workflows depend on an extension.

Where your pipeline data lives and who controls it

Pipedrive keeps your pipeline in the vendor's SaaS, while EspoCRM can run in EspoCRM Cloud or in infrastructure you control. The cards below cover the decisions that follow from that choice: where records sit, how people sign in, who backs up and restores data, and what evidence an assessor will ask for.

Data location and hosting model

Pipedrive stores your deals, people and activities in its own hosted service, so your data location is set by the vendor's hosting arrangements. EspoCRM offers three paths: EspoCRM Cloud on its paid plans, self-hosting on your own servers, or self-hosting in your cloud account. Each path changes who operates the database, the web tier and the storage. Ask the vendor in writing where data is stored and processed, and document which path you choose for your regulator.

Self-hosted server requirements

A self-hosted EspoCRM instance needs PHP, a supported database and a web server, and it relies on cron or a scheduled task for background jobs. The database choice is MySQL 8.0 or newer, MariaDB 10.6 or newer, or PostgreSQL 15. Your operations team owns patching, certificate renewal and monitoring of these components. Confirm which versions your security baseline accepts before you select the database.

Identity integration with your directory

EspoCRM supports OpenID Connect sign-in, including user creation on first login and mapping identity provider groups to teams. It also documents LDAP authentication for Active Directory and OpenLDAP. EspoCRM's own two-factor authentication is not compatible with OIDC, so decide where second-factor checks happen before rollout. Pipedrive account access is managed inside its own admin settings, so map leavers and role changes carefully during migration.

Backup and restore responsibility

On a self-hosted EspoCRM instance, backups are your responsibility. The EspoCRM installation script deploys a Docker-based stack with Nginx and MariaDB, and its command.sh utility handles backups, restores and upgrades. Test a restore into a separate environment before go-live, and confirm that the database and the file storage are both covered. Pipedrive provides its own export tools, but those are exports for you to keep, not a restore path for a self-hosted replacement.

Compliance evidence and assessments

DeployOpen plans, configures and documents the controls for a self-hosted EspoCRM environment, and prepares the evidence an assessor will ask to see, such as access reviews, backup test records and change logs. DeployOpen does not issue audit reports, attestations or certifications. Independent auditors and certification bodies do that work, so agree with your auditor early which evidence they accept and which hosting responsibilities sit with your organization.

What a self-hosted EspoCRM costs beyond the license

EspoCRM's open-source edition carries no license fee, so the comparison with Pipedrive turns on the components you pay for around it. Some are one-time, some recur every year, and each scales differently with users, data and integrations.

Pipedrive subscriptions and add-ons

Pipedrive is paid per seat on a plan tier, and add-ons and API token budgets can sit on top of the base subscription. Your renewal quote is the only reliable source for these figures, so ask for the price per seat, the plan that includes the features you use, and every add-on you rely on. Pipedrive plan prices are not given on this page, so use your own renewal quote as the baseline for the comparison.

Servers or a cloud account

Self-hosting means paying for compute, storage and backup space in your own cloud account or data center, which recurs monthly or yearly. EspoCRM's install script deploys a Docker stack with Nginx and MariaDB on Ubuntu, Debian or Linux Mint, so one virtual machine is a common starting point. Ask your infrastructure team what a production host, a staging copy and off-site backups would cost in your environment, and how that changes as the user count grows.

Database and web stack

EspoCRM runs on PHP 8.3 to 8.5 with MySQL 8.0 or newer, MariaDB 10.6 or newer, or PostgreSQL 15, on Apache, Nginx or IIS. Background jobs need cron or a scheduled task. Licensing for the database is usually free, but database hosting, patching and monitoring still take staff time. Confirm which engine your team already supports, since that choice drives both the operating effort and the cost of managed database services.

Implementation and migration work

Moving Pipedrive deals, stages, people, organizations and activities into EspoCRM is a one-time project. Pipedrive exports arrive as XLSX or CSV files that expire 28 days after export, so the data must be extracted and mapped before the window closes. Scope the pipeline rebuild, field mapping, user roles and any sign-in integration in writing, and ask for a fixed-scope quote that lists what is in and out of the migration.

Extensions and paid add-ons

Reports, Business Process Management and workflows come through the Advanced Pack, which is included in all EspoCRM Cloud plans but is an official add-on for self-hosted installs. Other official extensions cover the Sales Pack, VoIP, Google, Outlook, MailChimp, Zoom and Stripe. Check each feature you use against the Advanced Pack page and confirm whether you need a license for it on your own servers.

Staff time and support retainers

Upgrades, backups, restores and monitoring recur as staff effort, whether internal or from a partner. EspoCRM ships a command.sh utility for backups, restores and upgrades, and its release history includes major versions, so plan a regular upgrade window. Internal skills in PHP, Linux and database administration reduce the external support you buy, while a support retainer buys predictable response and upgrade coverage. Ask for a quote that separates one-time setup from monthly or annual support.

How a move from Pipedrive to EspoCRM is structured

The sequence moves Pipedrive deals, people, organizations and activities into a self-hosted EspoCRM instance with pipelines, automations and sign-in in place, and it checks the data against the source before the team switches over. Each phase closes with a named output that the business owner can sign off.

  1. Name the business owner and test environment

Before any export, the organization names a business owner who signs off on field mappings, pipeline stages and cutover. Engineering stands up a separate EspoCRM test instance on the infrastructure you have chosen, using the server requirements in the EspoCRM documentation (PHP 8.3 to 8.5, MySQL, MariaDB or PostgreSQL, a web server and cron for background jobs). The step is done when the owner has approved the scope in writing and the test instance answers logins from the people who will test it.

  2. Inventory Pipedrive objects and linked items

The team lists which objects are in active use: leads, deals, organizations, people, products, activities, notes, files and projects. It also records custom fields, pipelines and stages, and who owns each pipeline. Linked items such as notes and files need their own handling because they do not travel with a simple record export, so the inventory should flag them separately. The output is a written object list with record counts and owners that the business owner approves.

  3. Export data before the file window closes

An admin with export permission uses the Export data tab in Pipedrive to download leads, deals, organizations, people, products, activities, projects, notes and files as XLSX or CSV. Pipedrive keeps exported files available for 28 days, so the team should schedule the exports and store copies in a controlled location on its own servers. Confirm that the export covers all pipelines and not only the view of one user, and check the files open with complete headers. The step closes when every inventory item has a stored export and a checksum or row count is recorded.

  4. Map stages and fields to EspoCRM entities

Engineers and the business owner agree which Pipedrive deals, people, organizations and activities map to EspoCRM entities, and which custom fields become EspoCRM fields with the right types. Pipedrive stages become a status field or pipeline stages in the EspoCRM kanban view. Duplicates, owner assignments and visibility rules are decided here, not during import. The output is a mapping sheet with one row per source field, its EspoCRM target and any transformation, approved before the first test import.

  5. Import into the test instance and build pipelines

The team loads the exports with the EspoCRM import tool, starting with a small sample so that errors surface early. Engineers then rebuild the pipelines in the kanban view and set up user teams and access so sales reps see the records they saw in Pipedrive. Confirm relationships between deals, people and organizations after each batch. The step is done when a sample of records matches the source for stage, owner, value and related contacts, and the business owner has reviewed the pipelines.

  6. Rebuild automations with Formula Script and workflows

Each Pipedrive automation the team relies on is rewritten in EspoCRM. Field defaults and calculations can use Formula Script in before-save scripts, while follow-up tasks and notifications use workflows. Reports and Business Process Management are part of the Advanced Pack, which EspoCRM Cloud includes in every plan. For a self-hosted instance, confirm with EspoCRM whether the pack is licensed for your deployment before you plan reports or BPM around it. The output is a list of automations with a test case for each and a result.

  7. Configure sign-in and access controls

Identity is set up before users arrive. EspoCRM supports OpenID Connect sign-in from version 7.3, with optional user creation on first login and mapping of identity provider groups to teams. It also documents LDAP authentication for Active Directory and OpenLDAP. EspoCRM's own two-factor authentication is not compatible with OIDC, so the identity provider must handle second factors. API users should use HMAC rather than basic authentication, which the documentation does not recommend. The step is done when test users sign in through the chosen method and their team access matches the approved mapping.

  8. Run parallel checks and cut over

For a fixed period agreed with the business owner, sales reps work in both systems while the team compares record counts, pipeline totals, open activities and reports against Pipedrive. Discrepancies are fixed in the mapping and re-imported into the test instance, then into production. Cutover covers a final delta export from Pipedrive, a final import, a DNS or access change, and making Pipedrive read-only. The step is complete when the owner signs off the reconciliation report and the post-cutover backup of EspoCRM has been restored successfully once.

Questions buyers ask before choosing EspoCRM over Pipedrive

How much effort does it take to run a self-hosted EspoCRM?

Running EspoCRM is ongoing operational work: a PHP application, a supported database, a web server, scheduled jobs and regular backups and upgrades. EspoCRM's server configuration docs require cron or a scheduled task for background jobs, so someone must own that scheduler and watch it. The installation script for Ubuntu, Debian and Linux Mint deploys a Docker-based stack with Nginx and MariaDB and includes a command.sh utility for backups, restores and upgrades, which lowers the initial setup load. The recurring effort depends on your patching cadence, certificate handling, monitoring and who answers when a user cannot sign in. Ask your team to estimate those hours against your own environment before comparing with Pipedrive's subscription.

What does a Pipedrive to EspoCRM migration need from our team?

The migration needs a named data owner who decides which pipelines, stages, people, organizations and activities move, and which are retired. Pipedrive's Export data tab lets permitted users export leads, deals, organizations, people, products, activities, projects, notes and files as XLSX or CSV, and exported files remain available for 28 days, so the export must be scheduled inside that window. Linked items such as notes and files usually need separate exports. Your team also needs to confirm user roles, team structure, email and calendar expectations, and the integrations that currently write into Pipedrive. Plan for a test instance where sales reps can check their deals before cutover.

Can our own team install and run EspoCRM without outside help?

A team with Linux administration, PHP and database experience, and a clear owner for backups and access control can often run EspoCRM alone, since the project is AGPL-3.0 licensed and the open-source edition can be downloaded and self-hosted for free. The harder parts are usually the data mapping, custom entity design, workflow and formula logic, identity integration and the upgrade process across major versions. If those skills are thin, an implementation partner works from a written, fixed scope with agreed deliverables. Ask any partner, DeployOpen included, to state what they will hand over, what your team must still operate, and what ongoing support covers.

How long does a Pipedrive to EspoCRM migration take?

Duration depends on the volume and cleanliness of the data, the number of custom pipelines and fields to rebuild, how many integrations need replacing, and how many people must review and sign off before cutover. Data with duplicate contacts or inconsistent stage names takes longer because it must be reconciled before import. EspoCRM's import documentation covers the import step, but mapping and validation remain manual decisions. Ask for a timeline that breaks the work into discovery, data mapping, a test instance, user acceptance and cutover, and ask which of those steps depend on your reviewers' availability.

Which EspoCRM, PHP and database versions should we plan for?

Plan around EspoCRM 10.0.0, released July 2, 2026, and check the current patch level, since 10.0.10 followed on October 14, 2026, and 9.0.0 was released on January 20, 2025. The server configuration docs list PHP 8.3 to 8.5, MySQL 8.0 or newer, MariaDB 10.6 or newer or PostgreSQL 15, running on Apache, Nginx or IIS. Choose one database engine and confirm that your chosen PHP version is still supported by the EspoCRM release you pick. Before go-live, confirm the exact requirements for the release you install in the official release notes and server configuration docs, because minimum versions can change between releases.

Can EspoCRM replace Pipedrive's mobile and email features?

EspoCRM covers the core CRM records and pipeline views, but mobile and email behavior needs direct confirmation before you commit. Pipedrive's mobile apps and its email and calendar sync are central to how many sales reps work, so list those daily tasks and test each one in EspoCRM. Official extensions include Google and Outlook integrations, which you should evaluate against your mail provider and your reps' habits. Confirm whether the mobile experience in your EspoCRM version meets the sales team's needs, and whether email sync, tracking and calendar links cover the flows that matter most. Where a gap exists, decide whether to accept it, build around it or keep a second tool.

Does the EspoCRM open-source edition need paid add-ons for reports and workflows?

Reports, Business Process Management and workflows come from the Advanced Pack, an official add-on that is included in all EspoCRM Cloud plans. The open-source edition is free to download and self-host, but you should confirm whether you need the Advanced Pack or other official extensions, and how your licensing terms apply to them for a self-hosted deployment. The Sales Pack, VoIP, Google, Outlook, MailChimp, Zoom and Stripe integrations are other official extensions to evaluate. Ask your vendor or implementation partner to list each extension your processes need, its license terms, and its cost before you finalize the budget.
